How do I register?

To register, simply click the Register button on the portal home page, located in the top-right corner. You’ll be prompted to enter your email address. For security purposes, this email must match the one registered with the school. Once entered, you’ll receive a One-Time Passcode (OTP) via text to your registered mobile number. Enter the code to set up your password and complete the registration process.

My email isn’t working when registering

If your email address doesn’t match the one we have on file, you won’t be able to proceed. Please contact the school office at stpauls@studentsafeau.com.au  or call us on +61 (02) 4713 1817  to update your details.

I didn’t receive a 6-digit code when registering my email

If you don’t receive the One-Time Passcode, it’s likely that your mobile number doesn’t match the records we have on file. Please contact the school office at stpauls@studentsafeau.com.au  or call us on +61 (02) 4713 1817 to update your details.

Where can I find the coach routes and timetables?

Coach routes and timetables are available on our website. You can view detailed information for each route, including coach stops and departure/arrival times.

What if I would like an additional stop?

Our transport service is flexible and can consider adding additional stops if there is sufficient demand and the proposed stop aligns with current routes. Please don’t hesitate to reach out to us at stpauls@studentsafeau.com.au for assistance.

What if my child needs different stops or routes during the week?

If your child requires travel on different routes throughout the week, you can select the appropriate routes for each day during booking.

If your child travels on the same route but needs to use different stops, please contact us at stpauls@studentsafeau.com.au, and we’ll be happy to assist with your booking.

How does billing work?

Payments for the transport service will be managed through StudentsSafeAU. Parents are required to book and pay in advance for Term 1, 2025, either for the full year or per term during the booking window, which runs from 20 January 2025 to 28 January 2025. After this period, remaining seats will be available for ad-hoc or single-day bookings starting from January onwards. The booking window will reopen at the end of Term 2 for final semester reservations. Payment in advance is required to confirm seat reservations.

What are the booking options for my child for the next academic year?

  • Full-year or first-semester bookings: Open until 28 January 2025.

  • Ad-hoc or single-day bookings: Available starting from mid January 2025.

  • Final-semester bookings: The booking window will reopen at the end of Term 2, with communication sent to parents beforehand.

Will I still be charged if I book a seat but my child does not travel?

Yes. Once a seat is booked, it is reserved for your child and cannot be allocated to another student.

If I cancel the booking partway through a term, will I get a refund?

No. This policy ensures accurate planning for routes, stops, vehicle capacity, and associated costs.

How do I cancel or give notice for the coach service?

Bookings must be made in advance for each term. If you decide to cancel the coach service partway through a term, the full term fee will still apply.

What if I need to amend my travel arrangements before the start of term?  

Please email stpauls@studentsafeau.com.au and we will assist.

What should I do if the school coach is running late?

While our coach providers work hard to minimize delays, unforeseen circumstances like traffic or roadworks may cause disruptions. If the coach has not arrived, please wait at the designated stop for 10 minutes after the scheduled pick-up time. If the coach still has not arrived after this period, please contact our transport partner, StudentSafeAU, at +61 (02) 4713 1817.

What if my child misses the coach?

To ensure a smooth pick-up, we recommend students arrive at the coach stop at least 5 minutes before the scheduled departure time. Please ensure students wait outside the car at the stop, as coaches will not depart before the allocated time. However, if no one is visible at the stop, the driver may proceed.

If your child does miss the coach, parents or guardians will need to arrange alternate transportation to school. Kindly notify our Transport Team at stpauls@studentsafeau.com.au if this occurs.

Fobs for Boarding and Tracking

Students will be issued fobs for seamless boarding and disembarking. These fobs enable real-time tracking of your child’s journey to and from school. Parents will receive accurate updates and notifications through the StudentSafe Parent App, providing peace of mind regarding their child’s commute.

St Paul's Grammar School Policy

1. Purpose

This policy outlines the expectations and requirements for students using the St Paul’s Grammar School Bus Service. It is designed to ensure a safe, respectful, and well-organised travel experience for all passengers and drivers.


2. Using the Bus Service

2.1. Students must travel on their designated bus route as registered in the Transport Portal.
2.2. Parents are responsible for reminding their children that the School’s Behaviour Policy applies while using the bus service.
2.3. Students must follow the School’s Student Code of Conduct while on the bus.


3. Changes in Service

3.1. Any changes to a student’s bus usage—such as frequency, route, or pick-up/drop-off locations—must be made through the “Booking” section within the School Transport Portal.
3.2. St Paul’s Grammar School reserves the right to adjust bus routes as needed, with prior notification provided to parents.


4. Charges and Billing

4.1. Bus fees are determined based on the route and stop. Parents will be notified of route charges at the start of each term.
4.2. Termly bus service fees must be paid in advance through confirmed bookings in the Transport Portal.


5. Contact Information

6. Lost Property

6.1. If a student leaves an item on the bus, parents should contact the St Paul’s Grammar School Transport Team at stpauls@studentsafeau.com.au, providing the bus route details and a description of the lost item(s).


7. Student Code of Conduct on the Bus

7.1. To ensure the safety and comfort of all passengers and drivers, students are expected to:

  • Be on time for pick-up; the bus cannot wait for latecomers.
  • Travel only on their designated route.
  • Carry their student ID card at all times. Report lost IDs immediately. Replacement IDs will incur a charge.
  • Check the School website or app for updates during bad weather before leaving home.
  • Be polite and respectful to the driver and fellow passengers.
  • Follow all driver instructions for safety.
  • Remain seated and keep seat belts fastened for the entire journey.
  • Maintain a reasonable noise level to avoid distracting the driver.
  • Look after personal belongings and ensure they are safely stored without causing a hazard.
  • Report any misconduct or inappropriate behavior to the driver and/or the School.

7.2. Repeated violations of the Student Code of Conduct may lead to a temporary or permanent suspension of the student’s access to the Bus Service.

Terms and Conditions

School Coach Bookings  

Parents/guardians must place bookings via the Westholme School Transport Parent Portal. The booking window will open for bookings ahead of each term. We’ll be in touch to provide sufficient notice for placing bookings.

As before, the school offers places on its coach service, based on bookings and payments being completed, on a first-come, first-served basis. The school will do its utmost to accommodate all requests for use of the service.

Journeys booked but not taken are non-refundable.

Amendments / Cancellations

Amendments to bookings (for example: frequency, route, pick-up location, or drop-off point) should be made by emailing alphingtongrammar@studentsafeau.com.au or by calling the Westholme office hub on 03 9000 4816.

As before, all bookings are for the term and a term’s notice is required for any changes to termly bookings. If you wish to cancel your child’s coach provision part way through the term, you will still be charged the full amount for the remainder of that term.

Use of the Service 

Students can only travel on the route for which they are registered.

Adhoc bookings for occasional journeys will be opened up at the start of term.

Parents/guardians are asked to remind their children that when travelling on the school coaches they remain bound by the School’s Behaviour Policy.

Parents/guardians are asked to remind their children that they must abide by the school’s Student Code of Conduct (detailed below).

The journey tracking App will be launched as soon as possible.

Changes to Service 

The school reserves the right to make route alterations after publication but will provide notice of any such action.

 

 
 

Lost Property 

Should a student leave any item on a school coach then parents should contact StudentSafe via email on alphingtongrammar@studentsafeau.com.au to report the loss providing the coach route and a description of the item(s).

StudentSafe will contact the coach company to find out if the item has been found. Students can then collect the item, ideally on the next school run.

Student Code of Conduct 

Students must:

  • Be ready to board at the allotted time. If late, the coach will be unable to wait.
  • Always have any relevant emergency medication with them e.g. asthma inhalers/Epipens etc.
  • Always have their fobs when registering on the coach
  • Travel on their registered coach only.
  • Be polite and respectful to the driver and all other passengers at all times.
  • Follow any instruction from the driver without question – it is for their safety and the safety of others.
  • Stay in their seats with seat belts fastened.
  • Look after their belongings and keep them in a safe place.
  • Take litter off the coach.
  • Wear earphones if listening to music or watching something on a mobile device

Students must not:

  • Distract the driver, except in an emergency.
  • Leave any items on the coach.
  • Ask to be dropped off anywhere other than their agreed stop.
  • Not take any videos or photos on mobile devices
